Document Control Specialist – IPP (Intellectual Property & Projects) Location: Houston, TX (USA) or Mexico City (Mexico) Work Arrangement: Hybrid (3 days in office, 2 days remote)
Position Overview We are seeking a Senior Document Control Specialist to support the IPP (Intellectual Property & Projects) group. This role will lead document control strategy and execution across complex projects, ensuring all intellectual property, land, and project documentation is managed in compliance with regulatory and government standards. This individual will serve as a subject matter expert (SME) in EDMS and document control processes, with a strong focus on land, right-of-way (ROW), property, and government-regulated documentation. The role requires both hands-on execution and process leadership. The ideal candidate brings a strategic mindset, deep technical expertise in EDMS, and hands-on experience managing complex document environments.
This senior role is critical to ensuring the integrity, compliance, and accessibility of IPP documentation—particularly across land, property, and government-regulated records. Key Responsibilities
Lead and oversee document control processes within the Electronic Document Management System (EDMS). - Establish and improve document control standards, workflows, and governance. - Ensure compliance with government, regulatory, and commercial documentation requirements. - Manage documentation related to land acquisition, right-of-way (ROW), property records, and permitting. - Collaborate with legal, land, commercial, engineering, and project management teams. - Ensure audit-ready, accurately versioned, and properly archived documentation. - Identify risks and gaps in document control processes and implement improvements. - Support audits, due diligence, and regulatory reviews. - Drive best practices for document lifecycle management. Required Qualifications
7+ years of experience in document control in regulated or complex environments. - Deep expertise in Electronic Document Management Systems (EDMS). - Proven experience with government document control standards and compliance. - Extensive experience with land, right-of-way (ROW), and property documentation. - Experience supporting commercial, land, infrastructure, or government-related projects. - Strong knowledge of document lifecycle management and audit readiness. - Demonstrated ability to lead processes and collaborate cross-functionally. - Experience with SharePoint and Procore. ---
