As an Executive Secretary in this role, your responsibilities will include:
- Organizing and servicing meetings, such as producing agendas and taking minutes
- Scheduling meetings and arranging conference rooms
- Managing travel plans for VP/GM and handling confidential documents
- End to End Travel Desk Management for staff, including ticket booking, VISA documentation
- Coordinating external and internal review meetings with senior management
- Prioritizing all outgoing or incoming correspondence and maintaining contact lists
- Arranging domestic and international travel for factory leadership and visiting executives
- Handling ticketing, hotel bookings, visas, and transportation logistics
- Maintaining travel records and itineraries
- Coordinating with travel agencies and vendors for best rates and services
- Managing foreign exchange requirements for international travel
- Handling information requests and processing of bills
- Preparing presentations, Excel books, and charts for meetings
- Managing databases, maintaining diaries, and arranging appointments
- Liaising with relevant organizations and clients
- Alerting managers about cancellations or new meetings
- Providing administrative and business support as required
- End to End expat management
- Handling confidential information with discretion
Qualifications required for this role:
- Bachelor's degree in Business Administration, Secretarial Studies, or related field
- Proven experience (10 years) as an Executive Secretary, preferably in a manufacturing or industrial environment
- Strong organizational and multitasking skills
- Excellent communication skills (written and verbal)
- Proficiency in MS Office Suite and familiarity with ERP systems
- Ability to handle sensitive information with integrity
Preferred qualifications that set you apart:
- Prior experience in a manufacturing or factory environment with exposure to production workflows and compliance requirements
- Strong background in travel management, ticketing, and forex coordination
- Familiarity with ERP systems (SAP, Oracle, or similar) and factory management software
- Ability to manage confidential information with discretion and professionalism
- Excellent negotiation skills for vendor management
- Multilingual proficiency to support international communication
- Proven track record of cost optimization in travel, ticketing, and forex transactions
- Strong analytical skills for preparing management dashboards and performance reports
