Your Role As a Project Coordinator, you will serve as a key operational partner to project teams, helping support the successful execution of architectural and design projects from proposal through project close-out. This role is responsible for maintaining organization across project communication, scheduling, documentation, deliverables, meetings, and coordination efforts while supporting Design Managers and project teams in a fast-paced, collaborative environment. The ideal candidate is proactive, highly organized, detail-oriented, and adaptable, with the ability to manage multiple priorities while maintaining professionalism, initiative, and strong collaboration skills. What You Will Do Assist with project setup, organization, and maintenance of electronic project files and documentation Assist with preparing meeting notes, action item tracking, and follow-up communications Help maintain project schedules, milestone tracking, and team calendars Coordinate internal and external meetings, including scheduling, agendas, room reservations, catering, technology setup, and meeting materials Assist with compiling project status reports, staffing updates, and project trackers Support management of project documentation, including contracts, proposals, submittals, RFIs, and reports Coordinate QA/QC document stamping and final stamping Coordinate consultant communications and assist with information distribution Identify opportunities to improve workflows, organization, and communication processes Support implementation of project standards and operational best practices Collaborate positively across studios, disciplines, and support teams Maintain professionalism, responsiveness, and strong attention to detail in all interactions Your Qualifications Bachelor's degree preferred 5+ years of coordination, project support, administrative, or operations experience, preferably in architecture, engineering, construction, design, or professional services Strong organizational and time management skills with the ability to manage multiple priorities simultaneously Excellent written and verbal communication skills • High level of professionalism, discretion, and client service orientation Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams Strong professional judgement and ability to solve problems effectively Highly organized and strong attention to detail High level of professionalism, diplomacy, and strong sense of urgency Excellent verbal and written business communication skills Legal and contract review experience is a plus, but not required This position is in-person.
