Legal Services, based in the Office of the Chief Operating Officer Full-time (100%), fixed term position in a collaborative professional team Base salary will be in the range $95,361.61 - $102,302.91+ 17% Superannuation (HEW Level 6) Based at our vibrant and picturesque St Lucia Campus About This Opportunity In this role, you will provide high‑level executive and administrative support to the General Counsel and will play a vital role in the smooth, confidential and effective operation of UQ Legal Services. Working within a collaborative and purpose‑driven professional team, you will be trusted to anticipate needs, manage complex priorities, and enable sound decision‑making that supports the University's strategic objectives and governance obligations. Key responsibilities will include: Providing professional and proactive administrative and executive support to the General Counsel, Legal Services. Managing all aspects of the General Counsel's calendar and ensure thorough preparation for weekly commitments for General Counsel. Providing secretariat and administrative support relating to General Counsel's participation in various meetings, committees and boards, including ensuring that General Counsel is adequately briefed, preparation of agendas, reports and minute taking when required and follow-up and managing tasks allocated to General Counsel. Contributing to and/or coordinating the preparation and processing of executive documentation, reports, presentations, agendas, and minutes, undertaking background research and data analysis when required. Making travel arrangements and booking accommodation for General Counsel and other staff as required. Liaising with and maintaining strong relationships with University staff at all levels on the General Counsel's behalf. Maintaining confidentiality and exercising discretion, diplomacy and judgement. Assessing incoming correspondence and emails, taking appropriate action and writing replies to routine correspondence on behalf of the General Counsel and preparing drafts for consideration on non-routine matters as required. Assisting in the management of procurement activities and other finance related tasks as required, including reconciling the General Counsel corporate credit card. Assisting with the preparation and monitoring of Legal Services budgets. Working as part of an administration team to improve efficiency and service delivery within Legal Services. About You You will bring a calm, highly organised and confident approach, with the discretion and judgement required to operate in a senior executive environment. You will demonstrate: Significant experience providing executive and administrative support to a senior leader within a legal practice or similarly complex professional environment, or an equivalent combination of experience and education. Superior interpersonal, communication and senior stakeholder engagement skills, with the ability to build trusted relationships across all levels of an organisation. Demonstrated experience preparing high‑quality briefs, reports, presentations and correspondence for senior audiences. Strong organisational skills, with the ability to manage competing priorities, meet deadlines and work autonomously. High‑level proficiency in Microsoft Office applications, including Outlook, Word, Excel and PowerPoint, with demonstrated legal secretary and word processing skills (min 60wpm) A proven ability to handle sensitive and confidential matters with discretion, diplomacy and sound judgement. Well‑developed written and verbal communication skills, attention to detail and problem‑solving capability. An understanding of, or capacity to quickly develop knowledge of, university structures and corporate systems.
