As the Operations & Vendor Development Manager at The Mansion, your primary responsibility is to oversee the backend operations, vendor management, and production processes to ensure smooth execution of tasks related to sourcing, production, inventory management, and order fulfilment. Your role plays a crucial part in maintaining cost efficiency and quality standards while creating a structured operational backbone for the company. Key Responsibilities:
Vendor Sourcing & Development:
Identify and establish relationships with reliable vendors for various product categories. - Source new vendors for materials, packaging, and products across different segments. - Evaluate vendor capabilities, quality, and reliability. - Develop long-term partnerships with vendors and maintain a vendor database. - Vendor Negotiation & Cost Control:
Engage in commercial discussions with vendors to ensure fair pricing and quality. - Negotiate pricing and production terms. - Compare vendor quotations and maintain cost sheets. - Aim to control costs without compromising on quality standards. - Production Planning & Follow-ups:
Coordinate production timelines with vendors. - Track production progress and conduct quality checks on incoming goods. - Manage rework or corrections if required to maintain quality standards. - Ensure timely production of products and packaging. - Inventory & Warehouse Management:
Maintain visibility and discipline in inventory management. - Track finished goods inventory and monitor stock levels of gift boxes and components. - Maintain accurate inventory records and ensure proper warehouse organization. - Always be aware of stock levels and replenishment requirements. - Order Fulfilment & Dispatch:
Coordinate with the warehouse for packing and dispatch processes. - Maintain packing accuracy and presentation standards. - Manage dispatch schedules with logistics partners and track deliveries. - Aim to deliver every order accurately and on time. - Process & System Improvement:
Strengthen operational systems and workflows for smoother operations. - Create operational trackers and document processes and checklists. - Identify inefficiencies and work towards improving operational systems. - Ultimately, create structured operations that reduce chaos within the organization. Qualifications Required:
5 - 8 years of experience in operations or supply chain management. - Proficiency in vendor negotiations and production coordination. - Ability to manage multiple tasks simultaneously with attention to detail. - Strong organizational skills and a proactive approach to problem-solving. - Prior experience in product brands, gifting, retail, or consumer goods is preferred.
